How To Nail Your Podcast Workflow

If you’ve landed on this page, my assumption is that you have a podcast already that you’re looking to improve OR you’re my favourite type of person and about to launch your podcast and you want to get on the right foot from the beginning.

Producing a podcast can be damn overwhelming, especially if you’re not organised. Creating a great podcast workflow can help you juggle all of the pieces of the puzzle so you can produce awesome content without wanting to give up.

A podcast workflow will increase productivity and streamline your entire production process. It will also leave much less room for error because there will be a clear process from the beginning. 

So, what is a podcast workflow? 

A podcast workflow is a production process that you follow from planning the episode to the very end. Every step is well documented with a checklist so nothing is missed. This also means that you can get someone to step in at any point and give you a helping hand with the process. Over time, your workflow improves your productivity and the quality of your episodes. 

I recommend using a project management tool like Asana or ClickUp to manage your podcast workflows.

Here’s an example of a basic workflow…


Plan your episode

  • Identify guest

  • Build relationship with guest

  • Email guest and schedule interview

  • Research your guest and create interview questions

  • Send questions to guest a few days before the interview 

Podcast Audio

  • Record your episode

  • Edit audio

  • Create show notes 

  • Upload to hosting platform

Promote the episode

  • Share to your website

  • Share to your social media platforms

  • Repurpose your content everywhere you can


Do it again

  • And again

  • And again

  • And again


Your workflow may look a little different depending on the format of your podcast but that’s the general idea. 

Once you’ve got your workflow down pat you’ll see where you can improve and outsource. For instance, if you’re not great at editing your episodes, it is a better investment to have someone do it than spend hours trying to fumble through it yourself.

After nailing the workflow, you’ll be working much more productively and consistently. And most importantly, the quality of your episodes will be consistent.
